Fundraising Chair Guide
This guide gives you everything you need to hit the ground running. Your role is critical — the money raised here directly offsets competition costs for every athlete on the team. The families are counting on you, and this tool is built to make your job manageable.
The role

Your core responsibilities

  • Coordinate each fundraiser — logistics, promotion, volunteers
  • Track actual vs. forecast for every event
  • Log lessons learned so future chairs benefit
  • Present results to the board at season end

  • Hand off a complete, documented season to your successor

Your first 30 days

Read the history
Go to All Fundraisers and click through every annual event. Read the lessons learned and year-over-year data. This is your most valuable asset — don't skip it.

Update Settings
Set this season's goal, your name as coordinator, and the season dates. This feeds into the overview dashboard and annual board report.

Plan your calendar
Add all planned fundraisers for the season with dates and forecasts. Use prior years as your baseline — the historical data will show you what each event typically raises.

Assign owners
Every fundraiser should have a parent lead. You coordinate — you don't have to run everything personally. Use the owner field on each event.

Build your task lists
For each upcoming event, click in and add your prep tasks. Even a rough list keeps things from falling through the cracks when things get busy in-season.
